Why the Lines Between AV and IT Disappeared

For years AV and IT lived in separate parts of the org chart. AV handled what happened inside the room. IT handled everything that touched the network. That separation worked when a meeting space was mostly self-contained, but it needed to change once displays, cameras, microphones and control systems all started connecting to the same infrastructure as laptops and phones.

Today a single conference room can carry a dozen connected devices, each with its own firmware, security profile and update schedule. When one of them joins the corporate network it becomes part of the IT conversation whether or not anyone planned for it. That is why the most reliable rooms are now designed with both disciplines involved from the start, rather than handing a finished AV install to a network team after the fact.

What AI Actually Adds to the Room

AI is the newest part of this picture, and it is easy to oversell. The useful version is grounded. In practice, AI in a conference room shows up as features people can point to: cameras that frame whoever is speaking so remote participants can follow the conversation, audio processing that reduces background noise and keyboard clatter, and systems that adjust to the room rather than asking people to adjust to them.

The value of these features is not the technology itself. It is what they remove. A camera that tracks the speaker means no one has to think about framing. Noise reduction means a meeting in a glass-walled room does not bleed into the next call. Where Convergence Creates Friction

Convergence solves real problems, but it also creates new ones, and most of them show up at the seams between the three disciplines. A network change can affect how a room behaves. A new AI capability can depend on bandwidth or permissions that were never part of the original design. None of these are dramatic on their own, yet together they make a room harder to predict.

The friction is usually organizational as much as technical. When AV, IT and the platform owners each see only their piece, small issues fall into the gaps between them. Someone reports that the camera stopped following the speaker, and three teams each have a reasonable explanation. Clear ownership and shared documentation do more to prevent this than any single product feature.

Designing for Three Disciplines at Once

The practical response to convergence is not to chase every new capability. It is to design rooms that account for all three layers. That means choosing technology that fits the network it will live on, standardizing where it makes sense so rooms behave the same way across a building or campus, and documenting how each space is meant to perform so support teams are not guessing later.

Standardization carries extra weight here. When every room is built differently, convergence multiplies the complexity because each space now has three layers of variation instead of one. Consistent design gives AV, IT and platform teams a shared starting point, which makes updates, troubleshooting and future planning far less painful.

The Room Is a Shared Responsibility Now

The conference room has become a complex piece of enterprise infrastructure. It carries hardware, lives on the network and runs intelligent features that keep evolving. That complexity is manageable, but only when the teams responsible for it stop treating AV, IT and AI as separate concerns.

The organizations handling this well are the ones building rooms with all three in mind, supported by clear standards and a shared understanding of who owns what. When that happens, convergence stops being a source of friction and becomes what it should be: technology that works together so people can walk into a room, start the meeting and trust that it will hold up.
